Searching and filtering

Purpose: use search boxes, filters, and sorts so you are not scrolling thousands of rows.

Who can use this

Any user who can open the inventory or music lists for their organization.

Steps

  1. Go to the list you need (Inventory, Music, shared browse, and so on).
  2. Type in the search field: try name, tag number, or a distinctive keyword.
  3. Open filters (type, status, show, location) and narrow the list. Clear filters when results look too small—often one filter is too strict.
  4. If the page offers column sort, use it; otherwise rely on export or reports for very large printouts (when your role allows).

Expected result

The on-screen list shrinks to a manageable set, or the item you need appears at the top. If zero results appear, the item may be at another facility—try shared browse if your district linked schools.

What happens next

  • Open an item to see full detail and any history the product shows.
  • For inter-school use, your admin must enable Sharing for your partner schools; then use Browse Organizations in the app to see their shared inventory.

Common problems

  • Typos in tag numbers—re-scan or copy from a label photo.
  • Item on production hold — it may be hidden from “available to borrow” lists; check the message on screen.
  • Slow list — narrow filters first; very wide searches can take longer on old devices.
